For large events (500+ delegates) we recommend booking 6–8 weeks ahead. Smaller conferences (under 100 delegates) can typically be arranged with 2 weeks' notice, subject to fleet availability. For major trade shows like Hannover Messe or Amsterdam RAI events, book as early as possible as capacity fills fast.

Yes — this is our speciality. We create detailed pick-up/drop-off schedules across multiple hotels and coordinate real-time via our operations centre. All drivers receive a live schedule with delegate counts and any late changes are communicated instantly.

All CCG drivers assigned to conference work complete our event protocol training, covering VIP handling, delegate communication, schedule flexibility and professional presentation. Many have multi-year experience at recurring major events.

Yes. Full vehicle wrapping with your event or company branding is available with 3 weeks' notice. Partial branding (window stickers, seat covers) is available with 5 days' notice. Ask our team for a quote including branding.

We hold buffer capacity on all contracted conference movements. Typically we can absorb ±20% changes up to 48 hours before the event at no extra charge. Beyond that threshold, we work with you to find the best solution from our partner network.

We invoice the event organiser or their DMC. We can also structure cost-per-delegate breakdowns for billing purposes. All major currencies accepted; VAT invoices issued from our Netherlands, Germany or Belgium entities as appropriate.
